E-PASS Digital Hall Pass

Beginning in August 2024, SFHS will pilot an electronic hall pass system (E-PASS).  Below, you will find frequently asked questions designed to address common questions. 

What is E-PASS?
E-PASS is a digital hall pass system that allows students to create passes using their laptops or cell phones (via ClassLink) in the classroom. Teachers may also create student proxy passes (i.e., nurse, library, office, etc.).
 
Why an electronic hall pass system?
SFHS administrative staff had the opportunity to see E-PASS in action in several surrounding schools. E-PASS will reduce classroom disruption, enhance accountability for student whereabouts, and allow staff and parents to work together to address excessive instructional time missed.

Does a student need to use their cell phone or personal device to obtain a pass out of class?
No, a student may use any web-connected device, such as a teacher’s desktop computer or laptop, to request a pass from a teacher. However, it is SFHS policy that students leave their cell phones in the classroom when they exit the classroom to use the restroom.
 
Can a teacher still create a pass for a student if a student does not have a web-connected device available?
Teachers can create Proxy passes for students in only a few seconds from the E-PASS teacher dashboard.
 
How many daily passes will my student get, and can a teacher override if my child reaches the maximum number?
Students will receive 3 hall passes per day in the E-PASS system. These 3 passes are in addition to opportunities during lunch, gym, and between classes. Staff will have the opportunity to “override” if a student exceeds the 3 hall passes in one day; however, the administration will be notified so that we can communicate with the student and parents if needed.
 
If my child takes medication at school, does this count against the daily hall pass limit?
No.
 
Does E-PASS track a student’s location using cell phone location services?
E-PASS does not use location services; however, students must input their destination and time stamp when they leave and return. Staff can view on any connected device if a student is “out of area” based on the destination the student inputs.
 
Is a student required to carry a device on them in the hallway or bathroom?
No, students need not carry a device with them in the hallway or bathroom. Our security team can view all active student passes to quickly confirm when a student has a legitimate hall pass.
 
How does a digital hall pass system enhance security?
A digital hall pass system allows a school to know how many students are in the hallway and exactly which students are in the hallway at any given time. This includes students’ identified destination. Whether in a real emergency or a practice drill, this information allows for greater awareness and security across the entire school campus.
 
When will E-PASS be implemented at Santa Fe High School?

SFHS will implement E-PASS beginning in August 2024. While we adjust from our traditional hall pass system to the E-PASS system, we will have a hybrid of both systems. Students will attend an assembly during our Student Code of Conduct presentation to explain the E-PASS system.
